Meeting Scribe browser extension · Effective 16 September 2026
Meeting Scribe ("the extension", "we") captures the transcript of online meetings you take part in, summarizes it with AI, and keeps your meeting history. This policy explains exactly what data the extension handles, where it goes, and what stays on your device. We wrote it to be read, not skimmed: if anything here is unclear, email us at dgsnugur@gmail.com.
- Your meeting transcripts and summaries are stored only on your device (in the browser's local database). We do not keep copies on our servers.
- When you ask for a summary or use Audio mode, the transcript text or audio chunk is sent to our server, forwarded to the AI provider, processed, and discarded. We store only counts (how many summaries, how many minutes), never the content.
- You can use the extension without creating an account. Connecting a Microsoft account is optional and used for your calendar and to link your quota to you.
- We do not sell data, show ads, or use your data for advertising or profiling.

Deleting a meeting in the extension, or removing the extension, deletes this data. We cannot recover it for you.
2. Data sent to our server
Our server (scribe-api.qrmerkez.com, hosted in Germany at Hetzner Online GmbH, Falkenstein — EU) receives the following. Everything is sent over HTTPS.

3. AI provider (sub-processor)
Summaries and speech recognition are produced by OpenAI's API (OpenAI, L.L.C., United States) acting on our behalf. Under OpenAI's API data-usage terms, content sent through the API is not used to train their models and is retained only for abuse monitoring for a limited time. If you prefer, you can switch the extension to "My own key" in Settings: content then goes directly from your browser to the provider you configure, and our server is not involved at all.
4. Microsoft services
If you sign in with Microsoft, the extension requests the permissions User.Read and Calendars.Read (read-only). Calendar data is read by the extension directly from Microsoft Graph and shown to you; it is not uploaded to our server. You can disconnect at any time in Settings, which deletes the tokens from your browser; you can also revoke access at myapps.microsoft.com.
5. Meeting participants and recording laws
The extension records only what is already visible or audible to you as a participant. Depending on your country and organisation, recording or transcribing a meeting may require you to inform, or obtain consent from, the other participants. You are responsible for complying with those rules. The extension does not notify other participants.
6. Retention and deletion
- Content (transcripts, audio) sent for AI processing: not stored by us; processed and discarded.
- Usage and quota records: deleted automatically after 24 months.
- Account data (if you signed in with Microsoft): kept while your account exists. To delete it, disconnect in Settings and e-mail dgsnugur@gmail.com from the same address; we delete within 30 days.
- Local data: under your control; deleted when you delete meetings or uninstall.
7. Your rights
If you are in the EEA, UK, Türkiye (KVKK) or another jurisdiction with data-protection law, you have the right to access, correct, export and delete your personal data, and to object to or restrict processing. Contact us at the address below; we answer within 30 days. You may also complain to your local supervisory authority.
8. Security
All traffic is encrypted (TLS). Device tokens are stored on our server only as one-way hashes. AI provider keys never leave our server. Access to server data is limited to the operator.
9. Children
The extension is intended for working professionals and is not directed at children under 16.
10. Changes
We will update this page when the extension's data handling changes and note the new effective date at the top. Material changes are announced inside the extension.
